How do I make a booking?

Through our bespoke-built online booking system. To start making bookings, all you need to do is to register an account or log in.

How far in advance can I book?

For ad-hoc and diary bookings, the furthest in advance you can book is 6 weeks ahead of today’s date. This does not apply to permanent bookings, which guarantee your spaces indefinitely.

What payment methods are available?

We can accept payments via Card, Childcare Vouchers, or the Tax-Free Childcare scheme.

Payments cannot be accepted via BACS or cash.

How do I pay via Childcare Vouchers or using the Tax-Free Childcare scheme?

Simply process your Childcare Voucher or Tax-Free Childcare payment and, once it reaches us, we will credit your account balance.  Your account balance can then be used as a payment method when making bookings.

For permanent bookings – monthly bills are processed in advance on the 1st.  Please allow 5 days for payments to reach us to avoid any balance being taken from the default payment card.

For Ad Hoc or Holiday Camp bookings – you will need to send a voucher or TFC payment in advance to credit your account balance prior to making your booking. Please allow 5 days for payments to reach us to avoid any balance being taken from the default payment card.

To avoid delays processing your payment, please provide us with your child’s unique TFC reference in advance.

Can I send Childcare Vouchers or Tax-Free Childcare payments without making a booking?

You can send Childcare Vouchers or Tax-Free Childcare payments to us at any point.

Indeed, many customers build and maintain a surplus in their Account Balance to avoid waiting for individual payments to clear when making ad-hoc bookings; or to help budget for school holiday camp bookings.

How do I register a Payment Card?

To pay by card, customers must register card details through their online account.  Once a card has been registered, this can be used to pay for any future bookings.

To register a card, log in to your account and select ‘My Payment Cards’ from the ‘Finance’ dropdown menu.  Here you can register (one or multiple) cards and select your default card.

When do I have to pay (for Ad-Hoc Bookings and Holiday Camp)?

Payment is due at the time of booking, as the final step in completing the booking.

You can select whether to make payment from your account balance or a registered payment card.

When do I have to pay (for Permanent Bookings)?

In return for Cherrytree Childcare providing breakfast and/or after school care to the Child, the Parent agrees to pay the agreed fee, monthly, in advance. Payment is due in full by the 1st working day of the month, and will be taken automatically. It is the Parent’s responsibility to ensure sufficient funds are available via their default debit card, Online Account Balance, or a combination of both.


A £25 administration fee will be levied each month payment is not made on time. This will be payable immediately. Repeated late payments or failure to pay a late fine may result in a withdrawal of the service.

An email reminder is sent on the 20th of each month, to advise you that you have a permanent bill payment due to be processed on the 1st working day of the following month.

What are the cancellation terms (for Ad-Hoc Bookings)?

​Cancelling a term time ad-hoc session: If you cancel a session giving more than 2 weeks of notice we will credit your Online Account Balance to the value of the session(s) cancelled. Any cancellations made after this deadline will not be eligible for credit or refund. Credit can be retained on your account and used to book additional childcare (both term time and holidays),or can be refunded upon request.

What are the cancellation terms (for Permanent Bookings)?


Cancellations of individual dates (due to sickness, going to tea, collection from school, school trips, appointments etc) are not eligible for credit or refund.


Changing or cancelling your set permanent booking: If you would like to remove sessions from your Permanent Booking (or cancel your Permanent Booking in full) you are required to give one calendar month’s notice. You will be charged for your current booking for the duration of that month regardless of whether or not your child attends the sessions you wish to remove. After the duration of that month, your booking will change (or cease) according to your request.

What are the cancellation terms (for Holiday Camp Bookings?)


Cancelling a camp session: If you cancel a session giving more than 2 weeks of notice prior to the first day of the camp we will credit your Online Account Balance to the value of the session(s) cancelled. Any cancellations made after this deadline will not be eligible for credit or refund. Credit can be retained on your account and used to book additional childcare (both term time and holidays) or can be refunded upon request.

Do I need to cancel a session if I know my child won’t be attending?

Yes, it is very important to cancel your child’s session online if you know they will not be attending the club for any reason (sickness, going to tea, school trips, collection straight from school, appointments etc) This helps us avoid implementing our missing child procedure (which ultimately results in us contacting the police to help locate the child) when there is no need.

To cancel a session, simply log into your online account and select ‘Cancel Individual Bookings’ from the ‘Bookings’ dropdown menu.  You can then cancel any session with just two clicks: ‘Edit’ and ‘Cancel’.

What if I forget to cancel my booking for after school club?

Parents receive an automated booking confirmation email, at 9am, each day that their child is booked to attend after school club.  This is a safeguarding measure, designed to prompt you to cancel your child’s session if they will not be attending that afternoon. If we are expecting your child and they do not arrive at the club we will implement our missing child procedure.

If your child will be attending club as normal, you do not need to acknowledge or respond to this email.
